This Subscription & Pricing Policy outlines the subscription plans, billing procedures, payment terms, and pricing structure for the Xheris property management platform.

Xheris offers flexible subscription options tailored to different user roles, including:

  • Property Owners: Manage properties and tenants
  • Property Managers: Oversee multiple properties professionally
  • Contractors: Access project opportunities and manage work orders
  • Suppliers: Connect with property managers for procurement needs

User Categories & Access

Xheris provides differentiated access levels based on user type:

Annual Billing Discount

Save 20% when you choose annual billing instead of monthly payments.

Billing Cycles

Xheris offers flexible billing options to suit your preferences:

  • Monthly Billing: Billed on the same day each month from your subscription start date
  • Annual Billing: One payment per year with a 20% discount compared to monthly rates
  • Quarterly Billing: Available for Professional and Enterprise plans with 10% discount

Digital invoice sent via email within 24 hours of payment
Renewal Notice
Email reminder sent 7 days before renewal
Pro-Rated Billing

If you upgrade mid-cycle, you'll only pay the difference pro-rated for the remaining period.

Payment Terms

Subscriptions must be paid in advance for the selected billing period.

Accepted Payment Methods:

  • Credit Cards (Visa, MasterCard, American Express)
  • Debit Cards
  • SEPA Direct Debit (for EU customers)
  • Bank Transfer (for annual subscriptions only)
  • PayPal
Payment Failures

If a payment fails, your account will remain active for 7 days to allow time for payment method updates. After 7 days, access will be suspended until payment is received.

Invoice Details:

  • Invoices are sent via email to your registered billing address
  • VAT-compliant invoices for EU businesses
  • Downloadable from your Dashboard → Billing section

Plan Upgrades & Downgrades

You can change your subscription plan at any time from your Xheris Dashboard.

Upgrades:

  • Take effect immediately
  • Pro-rated charges applied for the remaining billing period
  • New features and limits available instantly

Downgrades:

  • Take effect at the end of your current billing period
  • You retain full access to higher-tier features until the period ends
  • No refunds issued for unused time on higher plans
Data Retention During Downgrades

When downgrading, ensure your data fits within the new plan's limits. Properties exceeding the limit will be archived (read-only) until you upgrade again or remove properties.

Free Trials

New users can try Xheris with a 14-day free trial of the Professional plan.

  • No credit card required to start the trial
  • Full access to Professional plan features
  • Trial automatically expires after 14 days
  • You can upgrade to a paid plan at any time during the trial
Trial Conversion

If you add a payment method during your trial, you'll automatically continue with your selected plan when the trial ends.

One Trial Per User

Free trials are limited to one per user/email address. Multiple trial accounts are not permitted.

Subscription Renewal

All subscriptions automatically renew at the end of each billing period unless cancelled.

  • You'll receive a renewal reminder email 7 days before the renewal date
  • Payment will be automatically charged to your saved payment method
  • Renewal occurs at your current subscription price
Auto-Renewal Management

You can disable auto-renewal at any time from your Dashboard → Billing Settings. Your service will continue until the end of the paid period.

Cancellation Policy

You may cancel your Xheris subscription at any time with no cancellation fees.

To cancel your subscription:

  • Log in to your Xheris Dashboard
  • Navigate to Billing → Subscription
  • Click "Cancel Subscription"
  • Confirm your cancellation

Service Continues
Full access until end of billing period
Account Deactivation
Access ends on the last day of paid period
No Pro-Rated Refunds

Cancellations do not result in refunds for the remaining time in your billing period. You retain full access until the period ends.

Data Retention After Cancellation:

  • Your data is retained for 30 days after cancellation
  • You can reactivate your account within 30 days without data loss
  • After 30 days, all data is permanently deleted per our Privacy Policy
  • You can request immediate data deletion by contacting privacy@xheris.com

Taxes & Additional Fees

All subscription prices are exclusive of applicable taxes unless otherwise stated.

VAT (Value Added Tax):

  • EU customers: VAT is applied based on your country of residence
  • EU businesses: Reverse charge mechanism applies with valid VAT ID
  • Non-EU customers: No VAT is charged

Additional Fees:

  • Payment Processing Fees: Included in subscription price
  • Bank Transfer Fees: May apply for bank transfer payments (customer responsibility)
  • Currency Conversion: If paying in a currency other than EUR, your bank may charge conversion fees
VAT Invoices

VAT-compliant invoices are automatically generated and available in your Dashboard. Enter your VAT ID in Billing Settings for reverse charge application.

Price Changes

Xheris reserves the right to modify subscription prices at any time.

Price Change Notification:

  • Existing subscribers will receive 30 days advance notice via email
  • Price changes take effect at your next renewal date
  • You can cancel your subscription before the price change takes effect
Grandfathered Pricing

Annual subscribers who pay before a price increase will maintain their current rate for the full paid period.

Promotional Pricing:

  • Special offers and promotional discounts are subject to specific terms
  • Promotional rates may revert to standard pricing at renewal unless otherwise stated
  • Limited-time offers cannot be combined with other discounts

Account Suspension

Xheris may suspend or terminate accounts under the following circumstances:

  • Non-Payment: Accounts with failed payments are suspended after 7 days grace period
  • Terms Violation: Breach of Terms of Use or Supplier/Contractor Agreement
  • Fraudulent Activity: Suspected fraud or misuse of the platform
  • Chargeback: Unauthorized chargeback claims without prior contact
Payment Recovery

Suspended accounts due to non-payment can be reactivated by updating payment information and settling outstanding balances.

Account Reactivation:

  • Contact billing@xheris.com to resolve suspension issues
  • Update payment information in your Dashboard
  • Pay any outstanding amounts including late fees if applicable
